Hosted or on a server, it’s worth knowing where
Where your management system lives decides what the vendor handles and what’s still yours.
The platform is backed up. Your side isn’t.
Applied Epic, AMS360, EZLynx, HawkSoft, or QQCatalyst back up their own platform. Your shared drive, scanned applications, mailbox, and producers’ local copies are still on your side of the line.
The backup has to be taken properly.
The database needs a proper export, not a copy taken while it runs. The documents folder has to be included, a copy kept out of ransomware’s reach, and a restore actually tested.

We’re hosted. Isn’t the backup handled?
The platform is. Your workstations, email, shared drive, devices, and the accounts that reach the platform aren’t, and that’s most of what a cyber application asks about.
Can you get multifactor authentication onto the carrier portals?
Where the carrier supports it, yes, and we’ll tell you which ones don’t. For those, a managed vault with unique credentials per person replaces the shared password.
What happens when a producer leaves?
With an inventory in place, it’s a checklist and an afternoon. Without one, it’s a memory exercise. Building the inventory is most of the work.
Can we keep our current IT person?
Yes, if they’re on your staff. Co-managed is common. We take the security and compliance layer and give them a specialist to call. We don’t work alongside another IT company, so if that’s who supports you now, switching is the path. See co-managed IT.
Will you help with our own cyber and E&O renewals?
Yes. We complete the technical sections with you and say plainly which controls are in place, which aren’t, and what each missing one costs to close.
Which regulations apply to our agency?
Agencies handling nonpublic personal information fall under Gramm-Leach-Bliley safeguards, enforced for insurance licensees by the state insurance regulator. In practice, that means a written security program, access controls, encryption, vendor oversight, and an incident response plan. This is general information, not legal advice.
